Log+Key

Handover stress is a thing of the past

Key management for property management firms and estate agencies

Flat and key handovers with tenants, owners, tradespeople and cleaners — Log+Key documents every movement, keeps to deadlines and takes the load off your back office.

Typical challenges

What costs time in day-to-day management

  • "Who has the key to flat 12?" — every day, multiple times, without a clear answer.
  • A tradesperson gets a key — and forgets the return date or drops it in the wrong letterbox.
  • A key lost by a tenant: replace the locking system, or prove you weren't at fault.
  • Multiple properties, multiple locking systems, several tenant changes a month: keeping a spreadsheet up to date becomes a full-time job.
  • Estate agencies with frequent viewings: the key passes through many hands, and no central overview ever takes shape.

Key management for property management firms

Tenants, tradespeople, owners — every handover documented.

Tenant handover with evidential value

Move-ins and move-outs are the critical moments: which keys did the tenant receive, which came back on move-out, which are missing? With Log+Key you document every handover with a date, the number of keys and (if desired) a signature on the tablet. In the event of a dispute you have an unalterable history — no "your word against theirs", just clear evidence.

Tradespeople and cleaning services without their own account

External parties don't need a Log+Key account. Your caretakers check the key out, select the tradesperson from the contact list (or enter the name freely), set a return date — done. The tradesperson signs once on the tablet when the record matters. The live overview shows all issued keys with their due returns at any time.

Multiple locking systems, multiple properties

Each key is its own record with master data: address, locking system, floor, tenant name, key number. Using the search, you can find keys even when you only know the address or the name of the locking system. For large stocks of 500+ keys, customers use Log+Key at the wall terminal in the caretaker's office — faster than any folder system.

Owners' associations, separate ownership and sensitive data

For owners' association management, sensitive resident data comes into play. Log+Key hosts exclusively in Germany, has a data processing agreement template and allows role-based access: caretakers see only the key movements, management sees the complete master data. More on the topic of security.

Key dates in the calendar

Schedule a return date.

A scheduled return deadline makes for an organised key handover, because agreed deadlines are a helpful planning tool for both the person taking the key and the person handing it over.

Confirm with a signature.

Log+Key doesn't leave the question of accountability unanswered. With the signature feature, a key can be handed over responsibly and traceably.

More than keys

Your inventory works like a key too.

Tools, devices, vehicles, first-aid kits: anything your team borrows and returns, Log+Key manages just like a key — with an NFC tag, a complete history and stocktaking by scan. The key rack and the tool store share one system, one history and one login.

Frequently asked questions

Answers for your industry

  • We're only 4 people — is it even worth it?

If you make the "who's got the key?" phone call a few times a week and lose 5–10 minutes each time, that quickly adds up to 1–2 hours a week. With 4 people, Log+Key usually pays off from this scale onwards. With the free tier you can try this out risk-free.

  • How do tradespeople who don't have an account manage?

They don't need to. You scan the key out, select the tradesperson from your contact database or enter a name — and if needed, the tradesperson signs on the tablet. When the key comes back, you scan it in again. External recipients never need an account of their own.

  • We manage flats with different locking systems — how does that work?

Each key is a separate record with its own master data: address, locking system, residents — all maintainable as fields. The search function reliably finds keys based on any of these criteria.

  • What happens when a tenant moves out?

When they move out, you scan all the keys in ("tenant moved out"). For the new tenant, you scan them out again under their name. The key's entire history remains visible — important for legal protection in the event of damage.

  • What about holiday homes when we're not on site?

Two ways: either you agree a handover point (a key safe with a code) where the key is deposited — and document the handover in Log+Key. Or you use a locking-system provider such as Kiwi, for which we are currently evaluating an integration.

  • Where is our data held? Is it GDPR-compliant?

Hosting is exclusively in Germany, and a data processing agreement is in place. For property managers handling residents' data this is particularly relevant — we provide specific information on request. More on the topic of security.
